UX-Dev Workshop

  • Workshop Objective:

    • The primary goal was to analyze the existing Smart Forms solution and identify areas for improvement in user experience and technical performance.

    • Establish collaboration between the UX design team and development team for a seamless revamp process.

  • Product Analysis and Module Breakdown:

    • The entire product was dissected into smaller modules to simplify evaluation and improvements.

    • Key modules included the form builder, workflow editor, real-time preview, and centralized management systems.

  • Documentation of Suggestions:

    • All feedback and ideas were recorded in a centralized Wiki for transparency and accessibility.

    • This documentation served as a reference for prioritization and future updates.

  • Collaborative Prioritization:

    • UX and development teams collaboratively assigned priority ratings to each module or feature.

    • Prioritization was based on impact on user experience, technical feasibility, and business value.

  • Effort Ratings:

    • Both teams rated the required effort for each module from their respective standpoints.

Comparative Analysis

The existing and redesigned of the Forms were compared and it highlights a significant shift in user experience, focusing on usability, flexibility, and efficiency. The previous design offered limited customization, rigid workflows, and a less intuitive interface, making form creation and management cumbersome. In contrast, the new design introduces a user-centered approach with streamlined pathways: selecting published forms, customizing templates, or starting with a blank form. This flexibility caters to diverse user needs, while enhanced features like form previews, conditional logic, and collaborative options improve usability. Overall, the new design empowers users with greater control, reducing complexity and improving task efficiency.

Future Work and Learnings

​The Smart Forms project has paved the way for a more intuitive, flexible, and user-centric approach to form creation and management. While the current design addresses many user pain points, the future of Smart Forms lies in leveraging emerging technologies like AI to further enhance efficiency, personalization, and automation. By focusing on AI-driven features, the project can transform form creation from a manual process into an intelligent, adaptive, and predictive experience, empowering users to achieve more with less effort.

Learnings from the Project
  1. AI Unlocks New Possibilities: Initial experiments with AI-driven recommendations highlighted its potential to drastically simplify user workflows.

  2. User Feedback is Key: Iterative improvements, driven by user feedback, revealed areas where AI could deliver maximum value, such as auto-suggestions and analytics.

  3. Adaptability Drives Success: Offering flexible pathways (templates, published forms, and blank forms) ensures the platform caters to a wide range of user needs.

  4. Simplicity Scales: A clear, streamlined interface not only improves the user experience but also sets the foundation for introducing complex features like AI without overwhelming users.
